A photography invoice does two jobs: collect the money, and define what the client is actually buying - which is usually a license, not a pile of files.

- Shoot date and coverage hours — Start and end time, since overtime is billed against it.
- Retainer paid and balance due — Both shown, so the remaining number is never a surprise.

Frequently Asked Questions
How much should I take as a retainer before a shoot?
Between 25% and 50% is standard, and for weddings it is usually non-refundable because you turned away other bookings for that date. Call it a retainer rather than a deposit on the paperwork - a retainer secures the date, and that distinction matters if the booking ever gets disputed.
Do I invoice before or after delivering the gallery?
Take the retainer at booking and the balance before final delivery. Holding the gallery until the balance clears is normal practice and far more comfortable than chasing money from someone who already has their photos. Say so up front and it is never awkward.
How do I charge for editing and retouching?
Include a defined number of edited images in the base package and price anything beyond it per image. Open-ended "we will edit what you need" is how a two-hour shoot becomes twenty hours of unpaid work.
Should licensing be a separate line item?
For any commercial work, yes. You are selling usage, not files, and the invoice should say which usage - web only, print, paid advertising, or a full buyout - and for how long. Ambiguity here is what gets your image running in a national campaign for the price of a headshot session.
What about travel, second shooters, and prints?
All separate lines. Mileage or airfare, the second shooter day rate, album and print costs - these are pass-through and markup items that have nothing to do with your creative fee, and blending them into one number makes your rate look far higher than it is.
