What to Put on Invoices for Pet Services
Pet service invoices are read by people who mostly want reassurance their animal was fine. Detail buys you trust as much as it justifies the price.
- Service type — Walk, drop-in visit, daycare, overnight, boarding, or grooming.
- Pet names — Owners respond to their animals by name far more than to "1 x dog".
- Dates and visit count — Every date covered, so the total is checkable.
- Visit duration — A 20-minute walk and a 60-minute walk are different products.
- Additional pets — At the add-on rate, listed individually.
- Holiday or peak surcharge — Named as such, with the dates it applies to.
- Extras — Medication administration, vet transport, plant watering, mail collection.
Frequently Asked Questions
Per-walk pricing or a monthly plan?
Monthly plans win for anyone with a regular Monday-to-Friday dog. You get predictable income, one invoice instead of twenty, and far less chasing. Keep per-walk pricing for occasional and holiday clients, priced high enough that the monthly plan is clearly the better deal.
What should I charge for a second or third pet?
A reduced add-on rate rather than full price - usually 50% to 75% of the first pet. The walk is the same walk; the extra work is real but not double. Itemizing each pet by name on the invoice also reassures owners that everyone got looked after.
Is a holiday surcharge reasonable?
Completely standard, and clients expect it. Thanksgiving, Christmas, and New Year typically carry a 25% to 50% premium because demand massively exceeds supply and you are giving up your own holiday. Publish the dates in advance and put the surcharge on the invoice as its own line.
How do I handle keys, codes, and access on the paperwork?
Never write door codes on an invoice - it gets forwarded, printed, and left on kitchen counters. Note only that you hold a key or have access on file. Keep the actual credentials somewhere private.
Should I invoice for the vet trip or the extra time when something goes wrong?
Yes, and agree the principle before it happens. An emergency vet run, a much longer visit for a sick animal, or a last-minute overnight are all real work. Bill them as clearly named line items with the date, and most owners are simply grateful you were there.
