What to Put on Invoices for Handymen
The handyman invoice has one job above all others: make a day of small tasks look like the many completed jobs it actually was.
- Every task, listed separately — Even the small ones - this is what justifies the total.
- Property address — Especially for landlords and property managers.
- Labor — Hours or per-task pricing, with the minimum shown where it applied.
- Materials — Itemized, noting whether at cost or marked up.
- Materials collection trip — If you made a run to the supplier for this job.
- Equipment hire — Anything rented specifically for the work.
- Disposal — Old fixtures, packaging, and debris removal.
- Recommended follow-up work — What you spotted - your next booking.
Frequently Asked Questions
Should I have a minimum charge?
Yes - typically one or two hours. Handyman work attracts a lot of fifteen-minute requests, and without a minimum you spend your day driving between jobs that do not cover the fuel. Publish it, and most customers will sensibly batch several small tasks into one visit.
How do I invoice a visit where I did six unrelated little jobs?
List every task as its own line, even the five-minute ones. A single line reading "handyman services - 4 hours" looks expensive; the same four hours shown as eight completed tasks looks like excellent value. This is the biggest pricing-perception lever in the trade.
Do I mark up materials or pass them through at cost?
Either works, but be consistent and say which. Many handymen pass materials through at cost and charge for the trip to fetch them, which customers find very reasonable. What causes friction is an unexplained materials number that does not match the receipt they can see.
What work should I turn down on licensing grounds?
Anything that needs a licensed trade in your jurisdiction - most electrical and plumbing beyond simple fixture swaps, gas work, and structural changes. Knowing your limit and referring it out protects your insurance and, frankly, earns you more repeat work than taking the job would have.
Is it worth invoicing on site rather than that evening?
Substantially. Same-day invoices get paid faster, and you will not forget the two extra jobs the customer asked for while you were already there - which is the single most common way handymen lose money. Talking it into Voice-to-Invoice in the driveway takes under a minute.
