Should I quote by the room, by square foot, or by the hour?
By the job, calculated from square footage of wall and ceiling area rather than room count - rooms vary enormously. Never quote hourly to a residential customer: they will fixate on your hourly number rather than the finished result, and you get punished for being efficient.
How do I stop prep work being invisible on the invoice?
Itemize it. Filling, sanding, caulking, priming, masking, and covering floors is often more than half the labor on a repaint, and customers genuinely believe painting is just painting. A separate prep line is the difference between looking expensive and looking thorough.
How many coats should the invoice specify?
Always state it. Two coats over primer is standard; one coat over a similar color is a different price and a different result. Color changes, deep reds, and bare drywall may need three. Writing the coat count down is what stops the "it looks patchy" conversation later.
What if the customer supplies the paint?
Price the labor accordingly and note on the invoice that materials were client-supplied. Add that you cannot warranty the finish - if they bought cheap paint that fails, you do not want to be repainting a hallway for free next spring.
Should I hold back an amount for touch-ups?
