What to Put on Invoices for Landscapers
Landscaping invoices get compared against competitors line by line, so separating labor, materials, and disposal works in your favor.
- Service type — Mowing, maintenance, install, cleanup, or tree work - different rates, different margins.
- Property address — Critical for clients with more than one property.
- Visit date — Or the date range covered on a monthly maintenance invoice.
- Labor — Crew hours or flat rate for the visit.
- Materials — Mulch, soil, sod, plants, fertiliser, stone - with quantities and units.
- Equipment — Anything you rented specifically for this job.
- Disposal fees — Green waste and debris removal.
- Next scheduled visit — Quietly reconfirms the recurring booking.
Frequently Asked Questions
Should mowing clients be billed per visit or monthly?
A flat monthly rate across the season is far better for you - it evens out the months with five cuts and the months with three, and it gets you one predictable payment instead of chasing per-visit money. Price it by dividing the season total by the number of months, and say so on the invoice.
How do I bill materials like mulch, soil, and plants?
Itemize them separately from labor, with quantity and unit - "8 cu yd hardwood mulch" rather than "materials". Landscaping quotes get compared line by line, and a client who can see the material cost is much less likely to assume you are inflating the total.
What about dump and disposal fees?
Always its own line. Green waste, tree limbs, and old sod cost real money to dispose of, and burying that in your labor rate makes you look expensive on jobs that generate no waste. Clients understand a dump fee immediately.
How should seasonal cleanups be priced against regular maintenance?
Separately, and usually hourly or by crew-hour, because spring and fall cleanups vary enormously with how bad the winter was. Quoting a flat cleanup price sight-unseen is how you end up doing eleven hours of work for a four-hour price.
Can I invoice from the truck before I leave the property?
That is the single highest-value habit in this trade. Same-day invoices get paid materially faster, and you are far less likely to forget an extra you did on the spot. Describing the visit out loud into Voice-to-Invoice takes under a minute between properties.
