What to Put on Invoices for DJs & Entertainers
DJ and event invoices are as much a scope document as a bill - most disputes are about hours and equipment, not the headline fee.
- Event date, venue, and address — The single most important detail on the whole document.
- Performance hours — Start and end time, since overtime is measured against it.
- Event type — Wedding, corporate, private party, school - often different rates.
- Retainer paid and balance due — Plus the date the balance is due.
- Overtime rate — Stated up front, even if unused.
- Equipment package — Sound, lighting, uplighting, fog, photo booth, extra ceremony system.
- Additional systems — Separate ceremony or cocktail-hour setups.
- Travel and lodging — Mileage beyond your radius, hotel for distant events.
- Setup and teardown window — What you need from the venue, on the record.
Frequently Asked Questions
How much should I take as a booking retainer?
Between 25% and 50%, non-refundable, and it is what makes the date actually yours. You are selling a specific Saturday you can only sell once. Without a retainer you are effectively holding the date for free while the client keeps shopping.
How do I bill overtime when the party runs long?
Agree an hourly overtime rate in writing before the event and put it on the original invoice, even at zero. At 11pm with a full dance floor nobody wants a negotiation - you want to point at a number everyone already agreed to, add the hour, and keep playing.
What should be separate from the base performance fee?
Travel beyond your normal radius, lodging for far events, extra sound for large rooms, uplighting, dance floor lighting, photo booths, fog and cold sparks, and extra ceremony or cocktail-hour systems. Each is a real cost and each is a genuine upsell.
Is a signed contract really necessary for a wedding?
Yes, and it should reference the invoice. Weddings are high-emotion, high-cost, and single-date - the contract covers cancellation terms, your backup equipment obligation, power and space requirements, and what happens if you are ill. The invoice handles money; the contract handles everything that could go wrong.
When should the balance be due?
Before the event, typically 14 to 30 days out. Chasing a balance from a couple who have just left for their honeymoon is a genuinely miserable experience, and after the event you have lost all your leverage.
