Frequently Asked Questions
Should the diagnostic fee be credited against the repair?
Most successful HVAC shops credit it toward the repair if the customer proceeds, and keep it if they do not. It gets you paid for the drive and the diagnosis while removing the customer's reason to hesitate on booking. Whichever you choose, print the policy on the invoice.
Flat-rate pricing or time and materials?
Flat rate by repair type is now the industry standard and customers strongly prefer it - they know the number before you start. It also stops penalising your best technicians for being fast. Keep time and materials for genuinely open-ended diagnostic and retrofit work.
How do I bill refrigerant?
By the pound, as its own line, with the refrigerant type named. R-410A and R-22 are wildly different costs, and R-22 in particular needs to be visibly itemized or the total looks inexplicable. Note the amount recovered as well as added - that is both a compliance record and evidence of a leak worth quoting on.
Are maintenance agreements worth invoicing separately?
They are the most valuable thing in this trade. A recurring plan covering spring and fall tune-ups turns unpredictable emergency work into predictable income and gives you two guaranteed touchpoints a year on every system - which is where most of your replacement leads come from.
How should warranty work appear on the invoice?
Show it, at zero. A line reading "compressor - covered under manufacturer warranty - $0" tells the customer exactly what you just saved them. Invoices that silently omit warranty work make the customer think the visit was trivial.
